Start with the policy record
An agency management system (AMS) is the agency's core system for policy and account records. Staff use it for the transactions and documentation that support the insurance book. If a client adds a vehicle, the authoritative policy work belongs in the systems and carrier processes your agency uses for that change.
Then look at the conversation around it
A customer relationship management system (CRM) helps the team organize opportunities, outreach, tasks, and communication. The same vehicle request may involve an acknowledgement, an assigned service task, a question from the client, and a final follow-up. Those steps are easy to lose when they are scattered across inboxes.
Better Agency is positioned as this relationship layer: sales pipeline, service and claims follow-up, renewal outreach, and campaigns for repeatable communication. It does not replace your AMS.
Do not assume an integration. “Works alongside your AMS” describes how the tools can be used, not a guarantee of automatic two-way synchronization with any particular management system. Ask about your own AMS, fields, import process, and ongoing maintenance before committing to a workflow.
Questions to answer before adding a CRM
- What is the source of truth? Decide where the official policy record lives and which details the CRM actually needs.
- Who owns the handoff? If a client replies to a message, who sees it and who completes the next step?
- How will data stay current? Confirm what is entered manually, what can be imported, and whether your specific systems can exchange data.
- When should an automation stop? A renewal message should not continue after the matter is resolved or an agent takes over.
Choose the gap you need to close
If the problem is inaccurate policy records, fix the record and the process around it first. If the problem is that quotes, service requests, and renewals do not get timely follow-up, a CRM may help.
